864 Initial Testing and Implementation Procedures

 

 
 
 
 

Following are step by step 864 initial testing and implementation procedures:

  1. Insure that you have the latest copy of the JCPenney EDI manual. You should also have a copy of the VICS Retail Industry Conventions and Guidelines for EDI. 
  2. Modify your existing computer systems to meet JCPenney's 864 mapping specifications. 
  3. NOTE : Suppliers should test and implement the 864 location address transaction set into production status before they begin testing the 850 purchase order.
  4. Generate test data simulating all of the variable conditions you will receive per our 864 mapping specifications. 
  5. Pass your 864 test data through your EDI translator and data processing system. 
  6. Contact your network provider and verify that they will accept the 864 version you desire to receive. 
  7. After you have successfully processed your own 864 test data through your data processing system and translator, complete the "Request to Initiate or Change EDI Status" (form 9.2) and fax it to the number on the form. 
  8. On receipt of your faxed form, JCPenney's EDI support will phone you within 10 days of your requested test implementation date to verify that you are ready to receive 864 test transmissions. We will only send three pre-canned 864 test transmissions (see test file examples, Part The three transmissions will contain the following: 
  9. Day 1 - 864 location address segments containing 5 dummy store locations.

  10. Day 2 - 864 location address segments containing changes to store locations received previous day (day 1). 
    Day 3 - 864 location address segments containing changes to updated location information master file after processing of previous day (day 
    NOTE : If it is necessary for you to receive the three pre-canned 864 test transmissions again, you must fax a written request to JCPenney's EDI support.
  11. After you have successfully processed your 864 test transmissions through your data processing system, notify EDI support that you are ready to go into 864 production status by faxing form 9.2 to us. 
  12. NOTE : Prior to receiving your first 864 production transmission containing location address information segments from JCPenney, delete the location master test file created from the 864 test transmissions.
  13. Upon receipt of your faxed form, EDI support will phone you within 10 days of your requested production implementation date to inform you that you have been put into a 864 production status. Your first 864 production transmission will contain location addresses for the entire JCPenney company.
  14. NOTE :  A company may have multiple JCPenney 6 digit supplier numbers. For each 6 digit supplier number, JCPenney ascertains which EDI transactions are to be sent and the applicable Receiver ID. If your company has more than one JCPenney 6 digit supplier number, you may or may not elect to receive duplicate 864 location address files. In the example below, ABC company has 3 JCPenney supplier numbers, and has elected to receive only one 864 location address file. XYZ company also has 3 JCPenney supplier numbers, however they have elected to receive two 864 location address files.

864 Version Migration Testing And Implementation Procedures

 

 
 
 

Following are step by step 864 version migration testing and implementation procedures:

  1. Insure that you have the latest copy of the JCPenney EDI manual. It will contain mapping for the new version. You should also have a copy of the VICS Retail Industry Conventions and Guidelines for EDI. 
  2. NOTE : JCPenney will advise suppliers of new version mapping changes and of the day we will be capable of sending 864 transactions mapped to the new version format.
  3. Modify your existing computer system to meet JCPenney's 864 mapping specifications for the new version. 
  4. Generate test data simulating all of the variable conditions which you will receive for the new version per JCPenney's 864 mapping specifications.
  5. Pass your 864 test data through your EDI translator and data processing system. 
  6. Contact your network provider and verify that they will accept the new 864 version you desire to receive. 
  7. After you have successfully processed your test data for the new version through your data processing system and translator, complete the "Request to Initiate or Change EDI Status" (form 9.2) and fax it to the number on the form. 
  8. Upon receipt of your faxed form, JCPenney's EDI support will phone you within 10 days of your requested test implementation date to inform you that you are now setup to receive 864 test transactions for the new version being requested. The frequency and contents of the pre-canned test 864 test transmissions are identical to those received by suppliers who are implementing the 864 for the first time. 
  9. NOTE : Suppliers will not receive location address information segments for valid JCPenney locations under the current version marked production and also under the next version marked test. Valid location address segments are only sent for production versions.
  10. After you have successfully processed the new version test data through your translator and data processing system, notify EDI support that you are ready to go into 864 production status by faxing form 9.2 to us. 
  11. NOTE : Prior to receiving your first 864 production transmission containing location address information segments for the new version, delete the location master file created from the pre-canned 864 test transmissions.
  12. Upon receipt of your faxed form, EDI support will phone you within 10 days of your requested production implementation date to inform you that you are now in a 864 production status for the new version. 
  13. NOTE : The first production file you receive under the new version will contain location addresses for the entire JCPenney company. Upon receipt of this file, discard the location master file you were maintaining with the old 864 version.

In providing location information, JCPenney has elected to only send location address information and will not send buying relational information. As a result of not sending buying relational information, purchase orders for shipments to retail and catalog units will always contain N1 ship to location codes. However, N3 and N4 ship to address segments are optional and will only be sent after receiving a request from the trading partner. This approach simplifies JCPenney and supplier maintenance of location address information master files. In addition, it provides us greater flexibility in varying ship to locations by subdivision number.

Buying locations are always assigned a 5 digit location code. Ship to locations are assigned a 5 or 6 position location code. In sending location address information, a unique 5 or 6 position location code number is assigned to each JCPenney location. This information serves only as a directory of JCPenney addresses. No attempt is made to identify each location as being a buying or ship to location.
